Purpose of the Position:

This role supports the function of Executive Reward and Global incentives for equity plan policy development, program implementation, reporting requirements, administration and maintenance. This position may also support HR Projects in the scope of Global Rewards that are not related to equity plans.

Key Responsibilities:

  • Assist with the design and implementation of our global equity programs
  • Administer global equity plans, including Restricted Stock Units and Performance Awards; process exercises and releases, cancellations, terminations, granting, purchase and refund events
  • Maintain our equity management platform to oversee all participant equity plan transactions (grants, exercises etc.) and ensure that they are correctly processed in a timely manner
  • Ensure compliance with securities regulations and tax requirements, including annual disclosures and equity-related filings
  • Prepare equity summary for the board meetings to include new equity grants
  • Conduct company-wide training to increase HR, payroll and employee understanding of and serve as a resource for participants' questions about all equity awards
  • Reconcile monthly equity activity, including shares outstanding and share reserves between company records, and third-party vendors like brokers and transfer agents
  • Generate reports as needed for audit, tax, and legal/regulatory filing purposes (including all aspects of financial reporting as it relates to equity plans)
  • Partner with payroll to ensure appropriate tax withholding, accounting and compliance, including global mobility tracking
  • Partner with Legal to manage employee trading and opening and closing of insider trading windows
  • Assist with the development of internal controls and the automation of equity processes
  • Support in identifying opportunities and actions for continuous improvement
  • Maintain key documentation (e.g. policies, employee files) on long-term incentives
  • Responsible for the completion of internal and external audit procedures
  • Perform other duties and ad hoc projects and reporting as requested on equity plans
  • Perform ad hoc projects in the broader Global Reward context as required

Level of Autonomy:

Day to day decisions in preparation and execution of the rewards activities:

  • Global role; independent with guidance from the Manager Executive Rewards and Global Incentives
  • Alignment with Legal, Finance, Regional Rewards teams, GBS People Service (payroll) and Regional/local HR organisations.
  • Supporting executives in the area of LTI administration.

Job Requirements:

  • A minimum of 5-years relevant professional-level work experience in implementing and administering equity
  • Broad experience with different equity award forms across multiple international jurisdictions (e.g., RSU, PSU, and ESPP)
  • Understanding of global taxation of equity transactions
  • Understanding of accounting standards relating to equity compensation
  • Advanced analytical ability, attention to detail, strong organizational skills, and ability to multi-task in a fast-paced environment
  • Comprehensive understanding of the different types of equity awards
  • Effective and efficient time management skills
  • Ability to effectively communicate and interact with a diverse group of individuals including various levels of management
  • Proven record of providing excellent internal and external customer service
  • Excellent interpersonal skills with high initiative, flexibility, and team approach to work
  • Demonstrate a high degree of accuracy
  • Able to manage multiple priorities, work cross-functionally and meet deadlines
  • Ability to manage a challenging, fast-paced environment
  • Proficient in Microsoft suite of software (Excel, Word, and PowerPoint)
